Executive Assistant to CHRO

|Description:||Position Summary: Under minimum supervision, performs a broad range of administrative tasks.|
∑ Manages Senior Management schedules and processes timesheet requests.
∑ Arranges, schedules, and confirms appointments, meetings, conferences, and Executive travel arrangements as requested - organizes travel including complex international travel and conference arrangements.
∑ Assists with training preparation including 360 launches, printing materials, calendaring, email correspondence, and marketing promotions.
∑ Creates, edits and enhances PowerPoint presentations, training manuals and draft correspondence requiring judgment.
∑ Manages internal communication notification emails
∑ Maintains Operational Rhythm collaboration site and process, as well as associated documents, agendas, and presentations as requested.
∑ Facilitates support and maintains all collaboration sites and processes for All Staff, Connect The Business, Member Loyalty, and 3.0/4.0 Convergence meetings
∑ Processes expense reimbursements and document expenses for budget reporting as well as coding invoices for payment
∑ Assists in the planning for the Foundation Board monthly meetings, committee meetings, and annual meeting.
Duties to include:
∑ Creation and maintenance of internal collaboration site, agenda(s), presentation(s), on-site logistics, and compilation of requested documents
∑ Performs correspondence with donors, volunteers, scholarship recipients and nonprofit organizations by email/mail.
∑ Responds and manages grant agreements, scholarships, philanthropy award inquiries, general questions and fundraising processes.
∑ Serves as liaison between Executives and IT for technical issues - provides first-level troubleshooting for Executives.
Education Requirements: Bachelorís Degree Preferred
Knowledge, Experience and Skill Requirements:
∑ Proficient in use of MS Office Programs
∑ Advanced use of PowerPoint
∑ SharePoint a plus
∑ Experience with IBM Blueworks a plus
∑ Background in HR/Training/Marketing preferred
∑ Strong technical background (iPad, iPhone, desktop integration and support)
