Additionally, the position is responsible for the processing function of all Credit Life/Disability, Guaranteed Asset Protection (GAP) and Mechanical Warranty Contract (MRC) claims and refunds. This position requires detailed and timely interaction between the credit union, the member, the vehicle dealer, and the service provider or vendor for Electronic Lien Title, CD, GAP, and MRC.

Hours: Monday - Friday, 8:00 AM - 5:00 PM
Rate of Pay: $22.55/hour to $25.06/hour.

Job Description
Title:GAP/Warranty/Lien Specialist
Status:Non-Exempt
Reports To:Financial Services Support Manager
Position Purpose:
To perfect vehicle liens and other instruments of public record on collateral held by the Credit Union as security for credit obligations and release all liens upon satisfaction of the obligation. Additionally, the position is responsible for the processing function of all Credit Life/Disability, Guaranteed Asset Protection (GAP) and Mechanical Warranty Contract (MRC) claims and refunds. This position requires detailed and timely interaction between the credit union, the member, the vehicle dealer, and the service provider or vendor for Electronic Lien Title, CD, GAP, and MRC.
Vehicle liens and other instruments of public record:
Essential Duties -
1.Responsible for perfecting all non-real estate liens on behalf of the credit union.
2.Maintain physical or electronic lien documents, physical or electronic original notes, and physical or electronic security agreements for safekeeping.
3.Order duplicate lien documents as needed.
4.Re-file liens due to name changes, additions, or deletions.
5.Extend liens to ensure they are valid.
6.Resolve member title problems.
7.File UCC liens and monitor for release.
8.Problem Resolution tracking with CUDC after 90 days.
9.Perform maintenance and tracking for liens on indebtedness generated through outside vendors securing the position of the Credit Union. This may include telephone contact with those outside vendors and/or auto dealerships.
10.Perform maintenance and tracking for internal loans where the liens have not been perfected after 45 days.
11.Ensure proper posting of over collected taxes and/or adding under collected taxes.
12.Work with Loan Closers, including timely follow up with them, on any internal loan title documentation corrections.
13.Process secured loan paid reports.
14.Follow up with insurance companies, and members related to total loss insurance claims with or without GAP coverage.
Processing Credit Disability, Guaranteed Asset Protection (GAP), Mechanical Warranty Contract (MRC) claims and refunds:
Essential Duties -
- Process GAP claims in instances of total loss.
- Receive and apply GAP Claim payments.
- Gather additional documentation for GAP claim(s) which may include:
- Finance Contract – Copy of original
- Signed GAP Waiver Addendum – All pages
- Payment History Record – Complete record
- Dealer Bill of Sale - If vehicle purchased from dealer (to make sure all add ons are included)
- Auto Physical Damage Worksheet and Check – The amounts need to match
- Color Photos - From primary insurance claim adjuster
- Original Appraisal - From insurance claim adjuster which totaled the vehicle
- Police Report - If unrecovered theft
- Mechanical Breakdown Protection (MBP) or Service Contract Refund - If applicable
- Coordinate with member regarding possible residual balances.
- Follow-up notes to be included in Loan origination or Loss mitigation electronic files.
- Process GAP cancellation refunds in instances of early terminations due to loan sales, included on the early payoff report, due to repossession, or via member written request.
- Process Credit Disability claims which include working with members to file through insurance company. Assist members with questions related to timely procurement of documents and processing of claim. Ensure required documentation is forwarded to insurance company. Post payments as received.
- Process Credit Life and Disability cancellation refunds for Indirect loans in instances of loan sales, total losses, early pay off, repossession, or via member written request.
- Process Warranty cancellation refunds in instances of loan sales, total losses, repossession, or via member written request.
- Responsible for compliance with the Fair and Accurate Credit Transactions Act (FACTA), the Bank Secrecy Act (BSA) and the Anti-Money Laundering Act, including monitoring for any illegal activity as it applies to this position.
Other Duties:
- Serve as back-up to other areas within Financial Services Support Department as needed.
- Other duties and projects as assigned.
Job Qualifications:
Education:
|
High School diploma or equivalent or completion of a specialized course of study.
|
Work experience:
|
One year to three years of similar or related experience preferred. Experience with online data processing preferred. Previous credit union or financial experience preferred.
|
Knowledge:
|
Knowledge of financial products and services. Knowledge of lien perfection procedures. Knowledge of applicable processes, procedures and applicable laws and regulations related to the timely filing of GAP, MRC and CD products.
|
Skills and mental abilities: (with or without accommodation)
|
Good oral and written communication skills. Legible handwriting,
tact and diplomacy, able to maintain confidentiality. Possess initiative to resolve problems with good judgment. Works independently.

Materials and equipment used:

PC, telephone/voice mail system, typewriter, fax machine, ten-key calculator, microfiche and photocopier.

Office environment.

Physical activity and abilities: (with or without accommodation)

Requires manual coordination and vision to operate PC, typewriter and calculator. Hearing necessary to receive and reply to member and employee inquiries. Ability to speak clearly in order to communicate with members and employees in person and on the telephone. Must be able to work in a sitting position for long periods of time. Some bending, stooping, reaching and lifting (up to 20 pounds) is required. Ability to frequently move to various locations within the building.
